At many enterprises, employees are required to undergo training, the results of which are entered in a special journal. This is a mandatory document that must be maintained in accordance with occupational safety requirements.
Despite the fact that at many enterprises, a workplace training log is considered a formal document, its maintenance is mandatory. It records the completion of training by employees, and the instruction itself comes in several types:
- primary;
- repeated;
- target;
- unscheduled.
Initial training is carried out for all newly hired persons, regardless of whether they work on a permanent job or under an employment contract. This type of training is also mandatory for those who work part-time or perform any duties at home, but using potentially dangerous tools, materials or mechanisms provided by the employer.
This instruction is also mandatory for students undergoing practical training in an organization, business travelers or employees transferred from other divisions of the same organization, as they are faced with performing new responsibilities.
In order to update and actualize the information provided to employees during the initial briefing, repeated briefings are conducted at least once every six months.
In some cases, unscheduled training is required, for example, if situations arise that require this, or something changes in the workplace. In most cases, unscheduled briefings are preceded by incidents or accidents that occurred as a result of violations of safety rules, as well as during the introduction of new standards and technologies in the workplace.
It is interesting that the log can be either general for all types of such training, or separate (for example, only entries about the completion of the corresponding training procedure are made in the introductory briefing log).
In some situations, it is necessary to conduct additional targeted training, records of which are also recorded in the journal. Such training is carried out under certain circumstances:
- when organizing and holding public events by employees;
- when performing one-time work;
- for work that requires special permits and permits;
- in cases where enterprise employees participate in the elimination of various accidents, disasters and disasters of man-made or natural origin.
How is on-the-job training carried out?
Primary and repeated types of briefings are required to be carried out at all industrial, transport, construction enterprises, as well as in all educational institutions.
Within the entire organization, the manager is responsible for instruction; for instruction at a specific site or division, the head of such entity is responsible for this.
Control over the conduct of briefings and compliance with safety measures is assigned to the occupational safety department (in small organizations or in the case of individual entrepreneurs this may be one responsible person). Such a person is appointed.
A person who has undergone appropriate training and has a certificate of occupational safety engineer has the right to conduct instructions.
Filling out the log
The briefing log is filled out and stored by a labor protection engineer, who issues these documents to the heads of departments and workshops, and they, in turn, conduct briefings at the workplace.
All pages of the document must be numbered, laced, and each page is certified by the seal and signature of the head of the organization. Typically, such a log is divided into several parts of ten to twenty pages, and in each part records are made about the completion of various types of training by employees.
Filling out the workplace briefing log, a sample of which can be seen on our website, requires entering the following data:
- date of training;
- Full name of the person being instructed and his position;
- indication of the type of instruction (if the magazine is intended for a specific type, such a column may not be present);
- instruction number according to the internal records of the enterprise’s documents;
- Full name and position of the instructing person;
- signatures of both parties;
- a mark on admission to work, which is placed by the manager or head of the labor protection department.
When completing such a log, it is important to consider the following. Firstly, all entries in this document are made strictly in chronological order. The second point concerns journal storage. After it is completely filled out, it is necessary to create a new document, and the completed document is transferred to the archive of the enterprise, where it is stored for the next three years.

Is it necessary to lead?

Personnel must learn safe work methods and techniques.
For example, when working with computers, you must adhere to SanPiN 2.2.2/2.4.1340-03. According to Article 11 of the Labor Code of the Russian Federation, there is no need to conduct initial training only with workers under civil law contracts.
The initial briefing includes the following questions:
- where you can’t walk and where you can;
- where to look and how to move correctly;
- location of recreation areas and food;
- designation of the impossibility of being present at the workplace in a state of intoxication;
- how to turn on and off work equipment or office equipment;
- what not to do to prevent the wiring from catching fire;
- and other equally important issues.
If we rely on clause 2.1.4 of the order, approved. Resolution of the Ministry of Labor and the Ministry of Education of January 13, 2003 No. 29 allows exemption from initial training for employees not involved in the operation, testing, adjustment and repair of equipment, as well as the storage and use of materials.
The list of exempt positions must be approved by local regulations.
However, exemption from training does not relieve the enterprise of responsibility for the safety of people.
Since the register of registration of briefings at the workplace includes information about the fact of completion of occupational safety training, every employer must maintain it.
With appropriate checks, having such a log will help avoid problems. You can always confirm that the initial training was carried out on time, before starting work.
Which form should I fill out?
Primary refers to on-the-job training. Therefore, organizations maintain unified logs containing information about introductory, primary, repeated and unscheduled briefings.
The form of the document must be the same for all departments. It is kept by the person responsible for the instruction.

Signatures must be placed in the appropriate columns; their absence will indicate a violation of labor laws.
Registration of instructions on labor protection in the workplace
The log is filled out by the immediate head of the structural unit. This could be, for example, a master.
Initial training is always carried out directly at the workplace before starting work.
It is necessary to maintain such a document taking into account the basic rules:
- Each page must be numbered.
- The document must be sewn with any type of lacing.
- The ends of the lacing on the reverse side are tied, a piece of paper indicating the number of sheets in the document is glued to it, and the manager’s seal and signature are placed on it.
- When filling out the journal, you cannot leave blank lines. If you do end up with a blank, it must be filled in with dashes.
- Errors and corrections in such documentation are not permitted. If a mistake has been made, it must be corrected correctly. To do this, incorrect information is crossed out with one line, the correct data is written next to it, a signature is placed and the phrase “corrected is correct.”
The log is filled out upon completion of the training, information is entered into the appropriate columns and signatures are affixed.
