Almost all state and commercial organizations have transport, or rent it, and the driver must have a waybill if he transports goods.

Accounting for the work of drivers is the task of the economic activity of the enterprise. , lubricants, the place of departure and arrival of the machine, the name of the cargo and other information must be recorded in the reporting documents.

The primary document on the road is the waybill of the car.

For truck drivers, the waybill is a document of strict accountability. A form is produced by order of ministries, departments and enterprises from paper with typographical numbering in the required quantity to meet the needs of organizations.

• form 4-C (piecework) is used to carry out the work of transport at piece rates according to the Single Tariff;
• form N 4-p - for a truck with time payment;
• form No. PG-1 (Order of the Ministry of Transport of Russia dated June 30, 2000 No. 68) - for the transport of an entrepreneur.

Intercity type (form 4th) is used for transportation over long distances. In this case, the sheet has a red stripe on the front side with the corresponding typographical inscription “intercity transportation”.

Payment for international transportation is carried out according to the established transport charters and in accordance with the approved regulations of the government.

The accounting department issues one copy of the invoice to the driver. Information about the weight of the cargo and the invoice number. In addition, in his form there are 2 tear-off coupons in which the customer enters information. These vouchers are later handed over to the client along with the invoice as proof that the work has been completed.

A tear-off coupon is used as an attachment to the waybill and is required to send an invoice for payment for transport services.

The client enters the date of issue and number in the appropriate columns. The coupon also reflects the name of the organization on whose transport the cargo is transported, the brands and license plates of cars and trailers (if any).

Sometimes accountants simplify the maintenance of waybills (they don’t contribute). This situation is typical for small organizations.

In Decree of the Goskomstat of Russia No. 78, the waybill must be filled in by the dispatcher, the head of the section or the head of the garage. Or the organization authorizes the accountant by an approved order of management.

How to fill out a waybill

The line "Car" reflects the brand, state number, type of car, its garage number. In the line "Driver" write down the surname, initials, service certificate number, class of the driver. In "Personnel number" - the number assigned to the driver at the car company.

The line “Column, brigade” reflects the numbers of the column, brigade, which include a driver and a car. In the column "Accompanying persons" write down the names of persons, their initials (loaders, freight forwarder, trainee).

Form 4-p contains the section "Assignment to the driver". In the 16th column “At whose disposal” (one-time customer order), the dispatcher writes the address, the name of the enterprise, to whom the truck arrives. Lines No. 18 and No. 17 contain information about the time of departure / arrival (according to the plan). It fits in column No. 19, and the number of trips - in No. 20.

In the line "Customer" - the name of the host organization, surname with initials of the person responsible for receiving the transport.

The "Time" column reflects the hours and minutes of arrival/departure of vehicles. "Speedometer" - meter readings at the time of arrival / departure. In the column "Number of trips" the number of trips performed is indicated.

The line "Stamp and signature of the client" is filled in by the customer. His information confirms the correctness of the details. In the column "Execution of the task" - information about the routes of transport - where and from where the trip. The information is confirmed by the client's signature.

The line “Operating mode” reflects the code or mode of operation (business trip, on weekdays, summarized, work on a day off or holiday, work on schedule, outside the schedule).

Column 22 "Distance" - the distance of cargo transportation on the map, or according to the data of the road authorities, according to the speedometer of the car (in season), recorded in the act of the enterprise. In column No. 23 “Transport tons” - the amount of cargo required for the customer.

For passenger car

Forms for a passenger car:

• Waybill. Form No. 3, (Decree of the State Statistics Committee No. 78 dated 11/28/97),
• Form No. PG - 1,
• Commodity-transport waybill (TTN).

When the car is released on a flight, the organization is obliged to issue a waybill of the appropriate form to the driver. Release of a car without a completed form of an approved form is strictly prohibited.

Simplified inaccurate information entails problems. The documentation is being checked by the tax authorities, and most often there are traffic police posts on the way of the car.

The driver must have a reporting document with him and present it to a traffic police officer for verification upon request.

For lack of a waybill, an administrative fine is imposed.
