Job assignment for a business trip - how to write it correctly?
From time to time, in order to fulfill certain production goals, the management of an economic entity may send people working at the enterprise on a business trip. At the same time, it can draw up a number of documents, the main of which is an order. However, it contains information in a compressed form; for its detail, it is also recommended to write out a business assignment for a business trip.
With the abolition of the previous Government Decree, which regulated the procedure for sending to, many documents have ceased to be mandatory. The new norms establish that an order from the administration on sending on a business trip must be issued.
Therefore, all other documents can be applied on the basis of existing production needs. Which forms are used by the enterprise are fixed in one or another enterprise.
A written order to send an employee on a business trip already contains information about the purpose and objectives. But all this information goes in general phrases. Therefore, it is recommended that you still use a job assignment for sending on a business trip, which describes in detail all the tasks that the management sets for the employee.
Who draws up this document and is it possible to do without it?
A business assignment for a business trip is issued at the moment when the director decides to send an employee on a business trip. Therefore, the main goals and objectives of the upcoming business trip should be determined by him.
Orally, he can dictate a job assignment to an employee of the personnel department, who will subsequently draw up this document from his words. The company can use a free form or use the unified T-10 standard.
Also, a business entity, if necessary, can develop its own form, which in the future will be filled out if a business trip is issued. At large enterprises, this responsibility can be transferred to the heads of structural divisions, who can determine the goals and objectives of the upcoming trip point by point.
But it is the head of the company who must sign the job assignment itself.
Since the assignment is not a mandatory document, the purpose of the trip can be indicated by the head of the employee in the prepared memo, or directly in the order for the trip. And also, if the leader personally goes on a trip, he may not draw up this document for himself.
Attention! On the other hand, if the execution of this document is indicated as mandatory in the Regulation on business trips, then the responsible employee is obliged to draw it up, even if the information indicated in it duplicates information from other forms.
On the basis of what document is the employee sent on a business trip?
Since 2015, the rules for issuing business trips have been changed at the legislative level. Since then, the official assignment has become optional, and the only document that needs to be filled out has become a business trip order.
For it, the standard form T-9 is usually used, or it is drawn up on letterhead.
The order must specify three main conditions for the trip - for what reason, for what period and where:
- The purpose of the trip is determined by a memo, job assignment or other document, which is the basis for sending the employee on a trip;
- The business trip period should include all days from departure to arrival, including the duration of the employee's stay on the road;
- Place of business trip - you must specify the country, city and company. If the trip is supposed to be long and will cover several points, then it is necessary to indicate all of them in the order. In addition, a situation may arise when the host organization is unknown (for example, if the employee travels to look for new business partners), then it can be omitted.
Attention! Thus, he took a leading role. However, if the company wants to continue to use the assignment and the travel authorization, it must be sure to indicate this in the Travel Regulations.

How to write a work assignment for a business trip?
When filling out the document, the full name of the company is written in the upper part, and its registration code in a special field on the right according to the OKPO directory.
Further below, opposite the name of the form, its serial number and date of issue are indicated.
After that, the full name is written in the next column. employee, on the right side there is a place to indicate his personnel number.
The main part of the document is a table in which information must be entered.
The columns are numbered:
- 1 - The name of the enterprise division where the employee works is indicated;
- 2 - His position according to the staff list;
- 3 - The name of the country and city where he is sent on a trip;
- 4 - Name of the company to which the employee is sent;
- 5, 6 - Dates on which the trip starts and ends;
- 7 - The total number of days that the employee's business trip will take;
- 8 - The number of days of work, i.e. without taking into account being on the road;
- 9 - The name of the company that finances the travel expenses;
- 10 - Grounds for sending an employee on a business trip.
This is followed by another table with two columns:
- 11 - It is necessary to indicate the purpose or job task that the employee must complete. You can enter several lines here with various tasks;
- 12 - After completing the task in this column, the employee personally briefly reports on its implementation.
The assignment for a business trip must be signed by the head of the department where the employee works. Further, the person going on a trip also puts his painting.
